Tips and Timesavers

Find & Replace is a writer's best friend

If you are using a recent version of MS Word suite (other suites will have similar functions) do not underestimate the power of your 'find & replace' function (under the edit menu or use Ctrl + F)

Quite apart from changing all 789 incidents of your hero's name in one easy manoeuvre, newer versions of 'Find & Replace' are extremely versatile. I can't list all the complexities of this tool (primarily because I'm no Word guru) but here's some slightly left of field ones you may never have thought of (and I wish I'd thought of some of them before doing the tasks manually on my own MS!).

Simple F&R examples

For the purposes of web-publishing, I've had to write out the words but (obviously) where I've written 'space space' etc you would literally put a space and a second space into the F&R field. Yeah, you get it...

  1. You've double-spaced after each full-stop instead of single space for 350 pages. You can use F&R to find any instances of 'space-space' and replace them with 'space'.

  2. You've converted your regular manuscript into ARC and want an easy way to change all the underlined bits into actual italics. Use F&R to find all incidents of underline and replace with 'italics, no underline'.

  3. You've incorrectly put a space after all your incidents of 'dot-dot-dot'. Use F&R to search for all incidents of 'dot-dot-dot + space' and replace it with just 'dot-dot-dot'.

Note: for easiest use of F&R it is worth getting really familiar with the keyboard shortcuts for many functions. Eg: italics is Ctrl + I, underline is Ctrl + U, bold is Ctrl + B. If you're not au fait with the commands then you can use the menu to get what you need done, it's just a few more clicks. (Menu - Replace - More - Format or Special)
